When should you clarify a comment received through 360 feedback?

Turning vague comments into meaningful conversations

Because managers have access to 360 feedback responses, there may be situations where it is helpful to speak with a respondent to better understand a comment before meeting with the employee concerned.

This is not necessary in every case, but it can be useful when additional clarity would improve the quality or direction of the conversation.

Examples of situations where clarification may be helpful

  • A comment is too vague to be actionable;

  • An important situation is mentioned, but lacks context;

  • A comment could easily be misunderstood by the manager or the employee;

  • Multiple responses point toward the same topic, but without concrete examples;

  • A sensitive comment deserves a more nuanced understanding;

  • The manager is unsure whether the issue is recent, isolated, or recurring;

  • A response highlights a collaboration challenge that requires additional clarity.

The goal is not to investigate.

The goal is to better understand what could help the employee grow and move forward. 🪴

Helpful questions to clarify a comment

  • “Could you give me a concrete example so I can better understand the context?”

  • “Are you referring to a specific situation or more of a general pattern?”

  • “What would have helped in that situation?”

  • “What message would be the most useful to share in order to support their development?”

  • “Have you noticed improvement, or is this still ongoing?”

Good clarification helps managers approach the conversation with greater accuracy and perspective. It transforms a vague comment into a more useful and constructive discussion.
