Is It Better to Delete or Deactivate Former Employees?

The best choice depends on whether your priority is preserving historical data or simplifying employee management and synchronizations.

Both approaches are fully supported in Amelio, and each offers different advantages depending on your situation.

Option 1: Keep Former Employees as Inactive

This approach is recommended if you want to preserve the ability to update historical survey results.

By keeping employees inactive, you can refresh historical data when needed. For example, if you add a new custom attribute or update a department value, those changes can be applied retroactively to previous survey results.

However, this option requires a bit more attention during synchronizations. Before making a manager inactive, all employees reporting to that manager must first be reassigned to maintain a valid organizational structure.

This approach is generally easier to manage when employee records are updated:

  • through Excel imports;

  • directly in employee profiles.

Option 2: Delete Former Employees

This approach simplifies employee management and synchronization.

By deleting inactive employee profiles, former managers can no longer prevent synchronizations from completing because they no longer exist in the account.

This method is particularly well suited for organizations that synchronize employees automatically through an HRIS or SCIM integration.

However, deleted employee profiles can no longer be used to update historical survey results.

Existing survey reports remain available, but it will no longer be possible to update employee attributes or refresh historical results associated with those employees.

Keep in mind that this approach may be less convenient if employee records are managed manually or through Excel imports, since an employee who returns after a temporary leave will need to be recreated instead of simply reactivated.

Which Option Should You Choose?

The right choice depends on your priorities.

Keep inactive employees if you:

  • want to preserve the ability to update historical survey results;

  • manage employee records manually or through Excel imports;

  • regularly update employee attributes.

Delete inactive employees if you:

  • want to simplify synchronizations and employee management;

  • synchronize your employee list automatically through an HRIS or SCIM integration;

  • do not need to refresh historical survey data.
