Amélio offers 3 possible methods for sending the survey to help you reach all your employee groups.
Regardless of the method used, the Excel employee list should always include all employees and their information in order to properly prepare your account for import.
Method 1 - Link sent by email
The link sent by email is the most optimal method for conducting the survey.
After importing a complete and detailed list, each employee receives a survey link to his or her email address and the responses are then automatically sorted.
Employees must have a business or personal email address.
The benefits of this method are multiple. Primarily, it promotes a streamlined survey delivery and experience for employees.
With the detailed list of employees, everyone registered in Amélio will automatically receive their survey email and reminders.
For administrators and HR, the results can then be analyzed more easily, since all the segmentation information entered in the employee list will have been used to classify the responses into the right groups.
Method 2 - User codes
Amélio allows to combine the use of a universal link with user codes specific to each employee.
Your organization will need to make available a universal survey link and unique codes for each employee, as they will need to enter their code at the beginning of the survey in order to access it.
This method works for all types of surveys and for all employees, with or without an email address.
Since the user code is linked to the employee's profile, an individual can complete the survey directly through the link sent by email or by using the universal link with their code.
This is a preferable option to the universal link (method 2), as it allows responses to be automatically sorted into the correct groups. Since the information for each employee will have been filled out in your detailed employee list, there is no need to ask self-identification questions at the end of the survey.
For employees without an email address, they must still be included in your Excel list of employees so that Amélio can prepare the user codes.
Participation rates and analysis of the results by Administrators or HR will be as accurate with user codes as with an email blast (method 1), since the information on the employee list will allow responses to be classified into the correct groups.
The user code assigned to each employee remains the same for all surveys, making access easier.
IMPORTANT! Once the code is received, the employee must keep it private, just like a password, to ensure the confidentiality of their responses.
Method 3 - Universal Link
A universal (or general) link allows employees to complete their survey from a common link, which your organization will need to make available to all.
However, in order for the results to then rank in the right place in the platform, attribute questions will need to be added at the end of the survey. An attribute (or segment) represents a column heading in our employee Excel template (e.g. Department, Location, etc.).
This technique only works for a one-time survey (e.g. engagement diagnosis) and is generally used for employees without an email address or who do not have easy access to their email box.
You will need to choose the attributes to ask for at the end of the survey to classify the responses and set them up at launch. We recommend limiting the number of attributes to ask for at the end of the survey (between 1 and 3 attributes).
After importing the list of employees, Administrators or HR will need to review the drop down choices at the end of the survey to ensure that the options available for each attribute are complete (Administration and Account tab, then review the options available for each attribute to be requested).
It is possible to pre-program an attribute and to use multiple links (e.g. different universal links for each location, which informs the employee's location in advance).
When administrators or HR read the results, it should be noted that this method will have an impact on participation rates, as it is not possible to accurately track participation with a universal link. The use of a universal link may also imply that only certain attributes will have been requested at the end of the survey, which may limit comparative analysis for other available segments.
Tip! Some organizations will prepare QR codes from the universal link to display in break rooms. Others will make the universal link available on shared desktops/tablets so that employees can access the survey more easily.
