How to Check if an Employee has Completed the Survey

This article presents you with the potential causes for not receiving an employee's survey responses.

Amélio values the confidentiality and anonymity of respondents. However, it is possible to ensure, if needed, that an employee has completed an engagement survey.

This article presents how to do that and potential reasons for which you haven't received answers.

The features listed below are only available to those with HR Employee or Administrator access. If you do not see these features, contact your Administrator.

Step 1: Check the employee's Usage Report

This procedure allows you to check the participation rate for each employee for a given period. To do this:

  1. In the platform, go to the Usage Report by clicking on ''Administration'' and then on ''Usage Report'';

  2. Select the period of the survey to check (examples: last week, the current month, etc.);

  3. Search for the employee and evaluate his response rate.

In other words, if the column ''Survey Response rate'' shows 0% for the period of the survey, we can deduce that a response was not submitted.

Step 2: Explore potential causes for not receiving employee responses

The following are possible causes why the employee's responses were not received.

  • The employee did not receive the survey

To see if the employee has received the survey or not, you can check the employee's profile:

  1. In the search bar "Search User", type the name of the employee and select his profile;

  2. Click on the button ''View sent emails''.

You can then see the latest activities related to his account. If the employee did not receive the survey, you can click on ''Resend survey'' or ''Resend invitation''. He will then be able to complete the survey from the new invitation email.

  • The employee did not click on the "Submit" button

It is possible that the employee has completed the survey, but did not click on ''Submit'' at the very end of the survey. If this is the case, he can simply:

  1. Return to the survey via the invitation email;

  2. Go to the end of the survey;

  3. Click on ''Submit''.

💡 An employee can start the survey and finish it later. Responses are recorded as they are completed. This allows the employee to close the survey page and reopen it at another time.

  • The employee accessed the survey using a colleague's invitation email

Each employee will receive a unique link to the survey. As mentioned in the invitation email, it is important to use only this personalized link to access the survey and not to forward it to others. Once the survey is submitted, the survey will no longer be accessible. Two employees cannot complete the survey using the same unique link.

  • Employee completed the survey using a public link

A public (or general) link allows employees to complete their survey from a common link. If this is the case, it will not be possible to accurately track the participation rate since all employees will have received the same survey URL.
