Amélio SMS Opt-In and Consent Disclosure

Amélio may send SMS messages to employees on behalf of participating organizations as part of an internal employee engagement survey program.

These SMS messages are used to support employee survey participation. They may include survey invitations, survey reminders, opt-out confirmations, and help instructions. They are strictly informational and are not used for marketing, promotional offers, lead generation, or third-party advertising.

Before SMS survey invitations are sent, participating organizations are responsible for informing employees that SMS may be used as a communication channel for the employee engagement initiative.

This communication may be provided through onboarding materials, HR policy acknowledgments, internal portals, employee communications, or survey launch presentations.

Amélio provides organizations with a sample employee-facing communication template that can be used before launching a survey when SMS invitations are enabled.

The following is an example of a slide that organizations can include in their internal survey launch presentation before SMS messages are sent.

The sample communication explains that employees may receive SMS survey invitations and reminders from Amélio on behalf of their organization, that message frequency varies based on the organization’s survey schedule, that message and data rates may apply, and that employees can opt out at any time by replying STOP or request help by replying HELP.

Participating organizations may collect employee mobile phone numbers and SMS consent through onboarding forms, HRIS employee profiles, internal portals, policy acknowledgments, employee information update forms, or paper/electronic forms.

Below is a representative sample SMS opt-in form that participating organizations can adapt before enabling SMS survey invitations through Amélio.

This example shows the employee’s mobile phone number being collected at the same time as the SMS consent disclosure. The disclosure explains that employees may receive SMS survey invitations and reminders from Amélio on behalf of their organization, that message frequency varies based on the organization’s survey schedule, that message and data rates may apply, and that employees can opt out at any time by replying STOP or request help by replying HELP.

Organizations may use the following disclosure when informing employees about SMS survey invitations:

“As part of this internal employee engagement initiative, your organization may use Amélio to send you SMS survey invitations and reminders.

SMS messages are informational only and may include survey invitations, reminders, opt-out confirmations, or help instructions. They are not used for marketing, promotional offers, lead generation, or third-party advertising.

Message frequency varies based on your organization’s survey schedule. Message and data rates may apply.

You can opt out of SMS messages at any time by replying STOP. You can request help by replying HELP.

No mobile data or SMS consent information will be shared with third parties or affiliates for marketing or promotional purposes.”

Employees may receive SMS messages similar to the following:

“Hi [First Name], your organization invites you to share your feedback in the Amélio employee engagement survey: [link]. It only takes 5 minutes. Reply STOP to opt out.”

“Reminder from Amélio: you still have time to answer your organization’s employee engagement survey: [link]. Your opinion matters. Reply STOP to opt out.”

“Your participation helps improve your workplace experience. Complete the Amélio employee engagement survey here: [link]. Reply STOP to opt out.”

Message frequency varies depending on the participating organization’s survey schedule.

For example, employees may receive an initial survey invitation and one or more reminders while the survey is open. For ongoing or recurring surveys, employees may receive messages based on the survey frequency chosen by their organization.

Employees can opt out of SMS messages at any time by replying STOP.

Employees can request help by replying HELP.

After opting out, employees will no longer receive SMS messages from the relevant Amélio SMS number unless they choose to opt back in.

SMS messages sent through this program are strictly informational and related to internal employee engagement initiatives.

No mobile data or SMS consent information will be shared with third parties or affiliates for marketing or promotional purposes.
