Surveying Employees on Specific Topics
Surveying Employees on Specific Topics

It discusses how to communicate the purpose of the survey, program the launch, and close the survey when desired response rates are reached.

Updated over a year ago

In order to take the right actions to meet the needs and expectations of employees, it is recommended to deepen your results by adding new questions about priorities that arise from continuous improvement surveys.

It is important to plan for the addition of new survey statements for several reasons:

  • Diversify the question bank and maintain employee motivation to express their views on the work environment.

  • Obtain more details on items with lower ratings through surveys and better understand weak results.

  • Measure employee satisfaction in a specific and exceptional context (e.g. returning to the office, telecommuting, etc.).

  • Assess your employees' statisfaction and seek their opinions before making important decisions.

  • Adapt questions based on recent organizational changes and better manage change.

  • Track the evolution of a factor following the implementation of actions and validate if our efforts have borne fruit.

In short, preparing new survey statements and carefully analyzing the results will offer more agility to the organization and help anticipate potential employee irritants upstream.

A custom survey questionnaire can also be prepared for you by Amélio, taking into account your needs and realities to help you implement the best actions for your employees.

Depending on your needs, you could explore different approaches to surveying employees on specific topics.

Ad Hoc Survey

This is a survey on demand, launched separately from the continuous improvement survey.

Relevance

  • Thematic survey including several specific questions related to employee engagement or to aid decision-making.

  • Isolated results on the platform, allowing for a level of engagement separate from the continuous improvement survey.

  • Possibility to select a specific audience of employees to receive this survey (e.g. Marketing, Communications, and Human Resources department only).

  • Possibility to restrict access to results based on roles (e.g. accessible only to HR employees and administrators).

Implications

For this type of ad hoc survey, it is essential to communicate in advance the purpose of this approach and why you are surveying employees on this specific topic.

As it is an independent survey from your regular survey, you can also schedule the launch by preparing a customized email and automated reminders.

This is typically a time-limited survey. You can close the survey when you have reached the desired participation rate or when you wish to start your analysis.

Preparing an Ad Hoc Survey

To begin, you can create a survey from scratch and prepare your questionnaire: How to create an ad hoc survey in 5 minutes?

Adding to the Continuous Improvement Survey

These are statements added to your recurring employee engagement survey question bank.

Relevance

  • Questions directly related to employee engagement that allow for further exploration or clarification of certain engagement factors (e.g. telecommuting context).

  • Results must be compiled into the overall engagement index.

  • All employees must receive these questions, and you have the option to reuse these statements in your next survey occurrences as needed.

  • Managers must have access to the results of these questions and can track them over time through the monthly report.

Implications

These additions are relevant when new statements are to be included in the engagement question bank.

Depending on the nature of the questions added and your objective, it may be necessary to communicate with employees before the survey occurrence.

For example, if you add specific questions about telecommuting and want to quickly adapt your practices, it is relevant to announce in advance to employees that their participation is essential because some of their survey questions will concern their needs and expectations related to this mode of work.

Adding Statements to the Active Survey

As these are additions to your regular survey, no special preparation is required other than creating these statements directly in the question bank.

You can also select whether this question should be asked to all employees in the next survey.

This option implies that, among the total number of questions planned in the next survey, this new question will replace one of the statements that would have been selected by the algorithm.

For example, if your monthly survey includes 20 questions, one of them will be replaced by the targeted statement thanks to this feature.

If this question is only to be asked once to employees, you can make it inactive a few days before the next survey date. The statement will therefore no longer be sent to employees in future surveys, but you can reactivate it if necessary.

Important! Deleting the question also deletes the recorded responses in the platform. It is recommended to make questions inactive rather than deleting them completely.
