SMS sending method

This article explains the different SMS sending methods available on Amélio's platform for survey and reminder messages.

Amélio offers 4 different methods for survey distribution to help you reach all your employee groups, including Universal Links and User Codes.

One of the new features offered is the option to send surveys and reminders via SMS.

After importing a complete and detailed list, each employee will receive their survey link directly via SMS and the responses will be automatically sorted.

This method offers many advantages, such as:

  • Facilitating simplified survey distribution and experience for employees who do not have access to a computer.

  • Allowing field employees to quickly respond to the survey without the fear of forgetting. Employees who are often on the go and have limited access to a computer can therefore easily participate.

  • Giving employees the ability to respond to the survey at any time, even from the comfort of their own home.

This is a new asset for your organization to encourage a high participation rate.

Some smartphones and operating systems offer a voice recognition feature that allows speech to be transcribed into text, making it easier to write comments.

Note that this feature is specific to each user and is not related to Amélio.

Activation of the SMS function in your account

To be able to use the SMS sending function, you must first activate the module in your account. To do this, you need to follow the simple steps below:

  1. From the left menu, select Administration, then Account.

  2. Select the Modules tab.

  3. Activate the Text Survey Sending module.

Note: SMS sending is exclusively related to sending surveys and reminders of them. Employees will not receive any other notifications (such as birthday announcements, responses to comments, etc.) from Amélio via SMS.

Updating employee profiles for those wishing to receive surveys via SMS

When the function is activated, you will notice the Phone Number field appear in employee profiles.

This is where you will need to enter the cell phone number of employees who wish to receive surveys and reminders via text. Of course, if you want to make the change to multiple profiles, you can always update your employee list and re-import it.

Important! All employee phone numbers must include the country code, for example, +1 for Canada and the United States and +33 for France.

Communication Settings

When the SMS function is activated, a new section called Communication Settings will appear in the Customization tab of your survey. This is where you can define the priority order for sending surveys to your employees:

Send First by Email

  1. The survey will first be sent by email to all users with an email in their user profile.

  2. Employees who do not have an email address in their user profile will receive the survey by text message, if they have a phone number in their user profile.

Send First by Text

  1. The survey will first be sent by text message to all users with a phone number in their user profile.

  2. Employees who do not have a phone number in their user profile will receive the survey by email.

Send by Email and Text

This method allows for simultaneous sending in both ways to employees.

SMS Reminder Message

Scheduling survey reminders by SMS is done in the same place and sent at the same time as email reminders, that is, via the Settings tab of your survey. For more details, refer to the Communication Settings section on the Survey Settings page.

Survey and Reminder Emails

In the Customization tab of your survey, you will find the Text Message Communication section at the bottom of the page.

This is where you can customize the survey sending messages as well as the reminders. Just like with email sending, you can test text messages for both the survey message and the reminders.

Character Limits

Initial Sending Message: 280 characters

Reminder Message: 280 characters

SMS Unsubscription

With each new survey occurrence, employees will receive the following text message: Hello, (COMPANY) wants to know your opinions and ideas because together we can enrich your experience and evolve our organization! Please take a few minutes to respond to this Amélio survey. Reply STOP to unsubscribe from these communications.

The stop message will not be sent with the reminders, but only with each new survey occurrence.

If an employee no longer wishes to receive SMS surveys and reminders, they can text the words STOP or UNSUBSCRIBE to +1 (514) 900-6675 and they will be unsubscribed from this function permanently.

They will then receive the following message to confirm their unsubscribe request: You are unsubscribed from text messages from this number. Reply START to receive them again.

Upon unsubscribing, they will automatically receive future surveys and reminders via email if an email address is listed in their profile.

Note: If an employee unsubscribes from SMS and you have chosen the "Send First by Text" method, they will no longer receive surveys. For privacy reasons, Amélio is not informed when a person unsubscribes from the feature. To avoid this situation, we recommend using the "Send by Email and Text" method.

Given the implicit contractual relationship between the employer and the employees, Amélio as well as the organization itself are authorized to contact them via SMS for all employment-related communications.

SMS Re-subscription

If an employee wishes to re-subscribe to SMS, they simply need to text START to once again receive surveys via SMS.

Default Text Message Example

You can customize text messages, both survey sending messages and reminder messages. Here are some suggestions we propose that you can adapt to your corporate culture:

Hello,

[COMPANY] wants to hear your opinions and ideas because together we can enrich your experience and evolve our organization! Please take a few minutes via this Amélio survey.

[COMPANY] needs you! Your ideas, opinions, and well-being are important to us. We have created a survey that will take only a few minutes to complete and will allow us to know your opinion about our work environment.

[COMPANY] wants to hear your opinion. Your ideas are valuable. Help us enrich your experience at [COMPANY] by answering this short questionnaire. Estimated time: 3 minutes.

Unique Identifier

For each Amélio account, a unique identifier is designated during the initial implementation stages. This identifier indicates the mandatory data to be entered when creating an employee profile and allows each profile to be distinguished.

You can view this information from the left menu by clicking on Administration, then Account.

You will see that it is one of the following three options:

  • Email address

  • Employee number

Important! The default unique identifier is the email address.
