Amélio offers 4 survey delivery methods to help you reach all your employee groups.
Regardless of the method used, the Excel employee list should always include all employees and their information in order to properly prepare your account.
Below you will find the four survey distribution methods we offer, listed in the order we recommend, starting with the most effective option. That being said, depending on your organization’s context, a different method may be more appropriate.
Method 1 - Link sent by email
A link sent by email is the optimal method for conducting the survey.
After importing a complete and detailed employee list, each employee will receive a survey link at their email address, and their responses are then automatically grouped.
Each employee can respond only once.
Employees must have a business or personal email address.
The benefits of this method are multiple. First, it promotes a streamlined survey delivery and experience for employees.
With the detailed list of employees, everyone registered in Amélio will automatically receive a survey email and any planned reminders.
For administrators and HR, the results can then be analyzed easily, since all the segmentation information entered in the employee list will have been used to classify the responses into the appropriate groups.
Method 2 – SMS
Employees can receive a link to complete their survey directly on their mobile device via SMS and respond using their smartphone. You can find out how to activate this feature in the following article: SMS sending method.
This method supports a simplified survey delivery experience for employees who do not have access to a computer.
Field employees can respond quickly to the survey without the risk of forgetting. Employees who are frequently on the move and have limited access to a computer can complete the survey easily and efficiently.
Employees can respond to the survey at any time, including from the comfort of their own home.
As a result, this method is a strong asset for your organization and helps promote a high participation rate.
Method 3 - User codes
Amélio allows the combination of a universal link with user codes specific to each employee.
Your organization will need to communicate the universal link and unique codes to each employee, as they will need to enter their code at the beginning of the survey to gain access.
This method works for all types of surveys and for all employees, with or without an email address.
Since the user code is linked to the employee's profile, a participant can complete the survey directly through the universal link provided and their personal user code.
This is a preferable option to the universal link (method 4), as it allows responses to be sorted into the correct groups. Since the information for each employee will have been completed in the detailed employee list, there is no need for you to ask self-identification questions at the end of the survey.
Employees without an email address must still be included in your Employee list so Amélio can prepare their user codes.
The participation rates and results being analyzed will be as accurate with this method as they would be with surveys being sent by email or SMS (methods 1 and 2). The information provided on the employee list will allow the responses to be classified into the correct groups.
The user code assigned to each employee remains the same for all surveys, making this an easy way to repeat surveys.
IMPORTANT! Once the code is received, the employee must keep it private, just like a password, to ensure the confidentiality of their responses.
Download User Codes
Here are the steps to download user codes along with their associated survey URLs. Please note that for this to work, your survey must be active:
From the left-hand menu of the platform, go to Surveys.
Click on the title of the survey for which you want to obtain the list of user codes.
On this page, in the Get more responses section, click Get survey link.
Go to the User codes tab, then click Download user codes.
We recommend sharing these codes individually with employees or appointing a designated person responsible for distributing them.
Method 4 - Universal Link
A universal link allows employees to complete their survey from a common link, which your organization will need to make available to all.
However, if you want results to automatically be classified in their appropriate groups, attribute questions will be required at the end of the survey.
An attribute (or segment) represents a column heading in our employee Excel template (e.g. Department, Location, etc.).
This technique works best for one-time surveys (e.g. a one-time diagnosis survey) and is generally used for employees without an email address, mobile phone or who do not have easy access to their email inbox.
You will need to choose the attributes you wish to ask about at the end of the survey. These attributes will be used to classify your results. You must also set them up before your survey's launch. We recommend limiting the number of attributes to no more than 3.
After importing the list of employees, an administrator or a HR employee will need to review their drop-down choices at the end of the survey to ensure that the options available for each attribute are complete (Go to the Administration menu, then the Account tab, and review the options available for each attribute you are requesting).
It is possible to pre-program an attribute and to use multiple universal links that cater to this audience (e.g. different universal links for each location, which provide you with information on the employee's location in advance).
When administrators or HR employees read the results, it should be noted that this method will have an impact on the participation rates, as it is not possible to accurately track the actual number of participants with a universal link.
The use of a universal link may also imply that only certain attributes will have been requested at the end of the survey, which may limit your comparative analysis for other segments.
Tip! Some organizations will use their universal links to prepare QR codes that they can display in break rooms. Others will make the universal link available on shared desktops/tablets so that employees can access the survey easily.
