During surveys that occur at regular intervals (for example every month), you can ask question to all employees at the same time, thus bypassing the usual algorithm.
To do so, you have three options:
1. Ask a question to all employees during the next continuous improvement survey;
2. Ask a specific question during every survey;
3. Ask a specific question at a pre-determined occurrence.
This article pertains to the last option.
How it works
When you choose a specific frequency for a question, it will be included in the survey generated for all active employees every time the survey occurrence is a multiple of the chosen parameter.
For example, we could ask a question once in every four survey. In this case, the question would be asked during the 4th survey, then during the 8th survey and then during the 12th...
Note: The occurrence number that determines when the question should be asked is based on the number of surveys generated for the organization and is not tied to the user. For example, a new employee who started using Amélio during the second survey sent by the organization will receive the question at the same time as their peers when it is asked to everyone, so it will be asked to them on their third survey in their specific case.
Programming the frequency
Here are the steps to follow in order to program the question's frequency:
Go to your survey Questionnaire: Click on the Surveys → Mobilization menu and select the survey you want to edit. On the survey editing page, click on the Questionnaire tab at the top of the window.
Click on a question to open the question editor.
Click on the checkbox Ask this question at a specific recurrence frequency.
Select how often you want to ask the question, and then. click on Save question.
Special scenarios
A survey is already in progress and several occurrences have taken place
If you want to use this function for an existing survey, you must count the number of occurrences that have been sent to determine when the next sending of the question will be.
To count the number of occurrences sent, follow steps 1 & 2 of the Exporting Survey Results to Excel article. When you have displayed the surveys sent, count the number of occurrences you see in the window.
This is the first survey | I want to ask the question in the next survey
If you want to ask the question in the next survey, even if it is not in line with the chosen occurrence number in the question settings, check the Ask a question to all employees in the next continuous improvement survey box.
This option overrides the condition of asking the question every X multiple of surveys.
Useful cases
Here are some examples of situations where you may not want to follow the frequency chosen in the settings:
This is your first continuous improvement survey, and you want to establish indicators right away instead of waiting for the selected occurrence time.
You want to set up Your Organizational Health dashboard and have data from the next survey.
A specific event has occurred, and you need to obtain employee opinions quickly without changing the established recurrence.
